Question

Is there a way to upload payroll data, an excel template, rather than manually keying in all the data each pay cycle?

We use another system for timesheets, if we can upload that into quickbooks, it would save a lot of time and reduce errors.

You can import employee data using an Excel or CSV file to save time compared to manual entry. Here’s how you can download and use the template:

  1. Go to All apps, select Payroll, then select Employees.
  2. Select the Payroll Settings tab and choose Data Extracts under business management.
  3. Under Data Type, select Employee Data and Empty Template.
  4. Select your File format and download the file.
  5. Enter or paste your information into the excel template and save it.
  6. Upload the saved file to QuickBooks Payroll, powered by Employment Hero.
  7. Go to All apps, select Payroll, then select Employees.
  8. Click the dropdown arrow next to Add employees and select Import employees.
  9. Select your file, choose the template you completed, and select open.
  10. Select Confirm upload.

Be sure to check the Automatically create missing locations option to create any unconfigured location names from the PrimaryLocation and Locations columns. If you skip this, an import error will occur. The screen will show the update status for each employee after the import finishes.

If you need to import hours from your timesheet system, you can record that payroll data as a journal entry. You can also explore third-party apps to import payroll data directly into QuickBooks by clicking the integrations icon in the top toolbar.

You can use a 3rd party tool to import your time tracking data.
