How do I undo a previous reconciliation in QuickBooks Online when I'm the primary admin?

It's a pleasure to see you in Community.  Welcome!  QuickBooks Online provides the option to undo reconciliations, when necessary.  Although it's important to note that this can impact other areas of your books.  For this reason, only QuickBooks Online Accountants will be able to undo the reconciliation for you. If you don't have an accountant, we can help you locate a ProAdvisor in your local area.

What's the point of being an admin then if you cant undo mistakes made by other QuickBooks users?

Even as a primary admin, undoing a completed reconciliation in QuickBooks Online is restricted to QuickBooks Online Accountant users. Reconciliations lock historical financial records to keep them accurate, so limiting this ability helps protect your account from unintended changes.

 

Here are a few ways you can handle this:

  • Work with your accountant: If you already have an accountant connected to your account, ask them to undo it for you. They can follow the steps in Undo a client's reconciliation in QuickBooks Online directly from their accountant view.
  • Find a ProAdvisor: If you don't have an accountant attached to your file, you can connect with a local expert through the Find-a-ProAdvisor directory to assist you.
  • Fix specific transactions: If only one or two transactions need adjusting, you might not need a full undo. Manually editing the individual entries and re-reconciling can often solve the issue much faster.
