Hello, I need to export list of all customers overdue invoices in excel. However i could not see export option anywhere on that screen. Could you please help me with that?
I'll be happy to guide you in exporting the data you need.
In QuickBooks Online (QBO), we have the Open Invoices report that you can run. It shows unpaid invoices and statement charges with totals for each customer.
To pull up and export the report, here's what you'll need to do:
In the left menu, click Reports.
Select the Standard tab, and go to the Who owes you section.
Locate and click Open Invoices.
Click the Customize button.
Set the Report period.
In the Filter section, select Unpaid in the A/R Paid dropdown menu.
Click Run report.
On the Open Invoices Report page, click the Export icon between the Printer and Gear icon.
Select Export to Excel or Export to PDF.
To know more about the reports you can run, see this article: Run reports in QuickBooks Online. It contains details on the report features and specific reports to get the info you need.
For additional reference, you can check this article about how you can customize a report in QBO.
That's it! You'll get the info you need, klibvt. Let us know if you have further questions. We're here to help. Take care.
Thanks for joining us here. Allow me to help you in exporting an invoice.
You're right, the steps shared by my colleague show you how to export the list of invoices in a form of a report. Although you can print or download an invoice in a PDF file, QuickBooks Online doesn't have an option to export an actual invoice into an Excel file.
Please consider the workaround suggested by one of our Community users, to use a third-party exporter tool. QuickBooks Online supports multiple applications. You can find them by clicking the Apps menu.
Hi Alex V. Thanks for being so candid and admitting the following: "Although you can print or download an invoice in a PDF file, QuickBooks Online doesn't have an option to export an actual invoice into an Excel file". So, I have an invoice with 367 line items and I need to verify each line item to locate the discrepancy. That's an easy task if just Copy & Paste the rows (line items) into a spreadsheet. What possibly logic went through the minds of your programmers to deliberately PREVENT "export to CSV" and PREVENT "Copy & Paste"?
After a lot of searching, I discovered a work around to this iss:
In Quickbooks, go to the form you want to convert/export
Under MAIN tab, across the top, click on SAVE and SAVE AS A PDF
Open the newly created PDF
On the right hand side of the screen, using Adobe Acrobat click on EXPORT PDF. Adobe Acrobat is a subscription based software service. It's $1.99 per month to convert PDF's to Excel
Click on CONVERT
Click on READY
After it’s been converted, open it and rename it, as needed
Now it's in Excel and ready to be edited :)
To create a Google Sheet that you can share with others from the Excel form:
Open and name a new sheet
Go into the Excel sheet and copy all info you want to transfer
You can export an invoice to Excel using QBO’s built-in reports, but if you need something cleaner or are doing this regularly, it becomes a bit clunky. I’ve used Skyvia on a few projects to pull QuickBooks invoice data straight into spreadsheets or a warehouse, and it saved us from babysitting exports, just runs on a schedule and drops the data where you want it.
Hi Robin, You say that "You can export an invoice to Excel using QBO’s built-in reports", but sadly I cannot find this elusive technique! Would you be able to outline the precise steps at https://qbo.intuit.com/ that result in an invoice being exported to Excel (or CSV), with each line item?
