Hello, Calbert.

I'll show you a couple of ways to help you track multiple locations in a bill.

Locations can only be used once in a transaction. As a workaround, you'll want to consider using the Class Tracking feature to track other locations in a single transaction.

First, enable it in your Account and settings:

  1. Click the Gear icon, then choose Account and settings.
  2. Go to the Advanced tab.
  3. Expand the Categories section.
  4. Toggle the Class tracking to On
  5. Click Save and Done

Create a new class for the different location and assign it on individual line items on a bill:

  1. Click the Gear icon, then select All list
  2. Select the Classes option.
  3. Click the New button to add a new class for the other location.
  4. After creating the new class, assign it to a bill on the individual line item.

Learn more about managing your classes here: Create and manage classes in QuickBooks Online.

Alternatively, you can split the bill by creating multiple transactions and use different locations for each one.

Though, letting you use multiple locations (without using classes) in a single transaction would be a nice addition in QuickBooks Online. This function might be added in the future. Stay tuned for updates in our QuickBooks Blog

After recording the bill, you can pay it whenever you're ready. If you need help with other processes or want to know more about the features in QuickBooks Online, check out our articles in our general help page

I'm here to provide you with pointers and important details if you have other concerns. Just tag my username (@jamespaul) in this thread and I'll get back to you.

We have multiple locations conducting transactions at the same time. When users save an invoice/receipt @ location #1, Users at Location #3, has their location changed, and invoices #'s changed. Can we lock in the location  and/or invoice # sequence per user? or device? @jamespaul

All locations are experiencing duplicate invoices & invoice #'s as well.

Please help

Thanks for joining this thread, PTea13.

We’ll have to check the user’s permission level and make sure they’re set not set to create any changes to invoices or location numbers. This is to avoid duplication of transactions.

Here’s how:

  1. Click the Gear icon at the top and choose Manage users under Your Company.
  2. Select the user you’re working on and hit the Edit link under the Action column.
  3. On the Edit user settings page, review the setup and update it.
  4. Press the Save button to keep the changes.

To learn more about user permissions and types, see the following guide. It includes instructions on how to manage roles in QBO: Add and manage users.

When creating a transaction, make sure to save it first and then refresh the page. Doing so allows you to view the latest changes made in QBO.

I’m adding an article that will guide you on how to customize the invoice and other sales forms. The process lets you use your own numbering system: Change the number on invoices or other transactions.

Feel free to visit the Community if you have other QuickBooks concerns. I’ll be right here ready to help you. Have a great rest of the day.

We are already using classes to track funding sources. Is there any other way to get these multiple locations without having to make journal entries to allocate them to the different classes.
