If I wanted someone to check accounts and structure, is it possible to run a detailed P&L with no activity?

It depends on what version of QuickBooks Desktop you're using, @gangelo.

 

If you're using the Pro or the Premier versions, you can only restrict their access but they won't be able to see the Profit and Loss Detail report.

However, if you have the Enterprise version, you can create a "view-only" user so they won't be able to change or edit anything on the said report. 


Here's how:

 

  1. Go to the Company menu at the top.
  2.  Select Set Up Users and Password and then tap Set up Users.
  3. Click Add User.
  4.  Fill out the User NamePassword, and Confirm Password fields, and then click Next.
  5. On the Access for user: (username) window, choose which area of QuickBooks the user has access to, and then pick Next.
  6. If you choose Selected areas of QuickBooks, you can customize the restrictions for different areas of the company file for the newly created user by selecting No Access, or Selective Access.
  7. Hit Finish when done.

I was asking more towards the standpoint in you do not have data in QuickBooks. Is it possible to run a P&L to view the standard setup or structure?

Hi there, @gangelo.

 

Yes, it's possible in QuickBooks Desktop to run a Profit and Loss report with no activity to see the standard setup or structure.

 

In addition to my colleague's recommendation, you can customize the report to show all the accounts that have no activity.

 

Just click the Customize Report button on the P&L report to include all the accounts that have 0 activities.

 

Let me show you how:

  1. Go to the Reports menu and then select Company & Financial, then choose the Profit & Loss (either Detail or Standard) report.
  2. Click the Customize Report button.
  3. Select Advanced and then tick All under the Include frame.
  4. Click OK to save the option.
  5. Hit OK to save the customization.

 

Well done! You've run a P&L report with no activity.

 

Besides, you can see this option in the other statements like for Inventory, Purchases, Sales, and many more reports in QuickBooks.

While the Profit and Loss Detail report in QuickBooks Online doesn't have an option to include accounts with no activity, you can view them using the standard Profit and Loss report. Change the Show accounts with zero balances setting to All, and apply the changes. From there, you can click on any amount to drill down into the specific transaction details.

 

To set this up, you can follow these steps:

 

  1. Navigate to Reports, choose Standard Reports, and click Profit and Loss.
  2. Hit the Customize button.
  3. Select the All option from the Show non-zero or active section.
  4. Click the Apply changes button to save.
  5. To check the details, click the amount for that specific transaction.

 

If you want someone to review this report, you can add them as a user and assign them a specific role.
