Question

Reports printing out different than report showing on screen QB Enterprise Desktop

I guess I have to do this in two posts because I have two attachments and am only allowed one per post.

 

This attachment is a screenshot of the report I need showing on the screen.  The next post and attachment is going to show what prints out.  What is going on?

The issue you're experiencing with QuickBooks Desktop (QBDT) Enterprise reports printing differently than shown on the screen could be due to the margin settings of your reports.

 

QuickBooks relies on your printer settings to determine the formatting of printed reports. If the printer setup isn't properly configured, it can alter margins or sections.

 

We can verify this from the Printer Setup within your QuickBooks. Here's how:

 

  1. Go to the File menu and select Printer Setup.
  2. Select Report for the Form Name.
  3. Enter the correct margin.
  4. Hit OK once done. 

 

After that, print your report again to see if the entire details appear.

I tried your printer setup suggestion and found nothing wrong with the margins and the print out was the same result.  If you take a look at both attachments I sent, you will notice that all four columns are there in the correct order but the data in the columns is different on each report.  So margins would not affect the outcome.

I can see that the data is shifting to the right, which is cutting off the Balance column, and this still has to do with the margins.

 

In addition to Nicole's suggestion, I’d suggest updating your QuickBooks and running the Verify and Rebuild Utilities.

 

These tools are effective for identifying and fixing issues in your data, ensuring that everything displays correctly.

 

To run the Verify and Rebuild Utilities:

 

  1. Navigate to File and choose Utilities.
  2. Click on Rebuild Data, then select OK to close any open windows.
  3. QuickBooks will prompt you to create a backup before rebuilding your company file—click OK to proceed. If you prefer not to create a backup, click Cancel to continue with the rebuild. *If backup preferences are not yet configured, QuickBooks will request you to update them. Select Backup Preferences, make any necessary adjustments, and click OK. *After the backup is complete, you can choose Show in Finder to locate the backup or click OK to finish.
  4. When the rebuild process completes, select OK.

 

If these steps won't work, you can also update your printer's driver (refer to the manufacturer's website for help). Or, we can have our QBDT Support take a look at your company file to get to the bottom of the issue.
