Why don't some emailed receipts show up in QuickBooks Online?

I use the email for receipts to qbo.  Some are not uploading.  The memo from email is there but not the receipt.

Why the receipt image doesn't come through

If you see the memo or details from an emailed receipt but not the image itself, it usually comes down to how the file was sent.

  • File format: receipts need to be PDF, JPEG, JPG, GIF, or PNG.
  • File size: each attachment needs to be between 46KB and 20MB. Anything outside that range can fail to come through.
  • One receipt per file: each image or PDF should contain a single receipt.

 

If a batch of receipts came through this way from employees you've given forwarding permission to, it's worth checking the originals against these requirements before resending.

 

If everything meets these requirements

Try viewing your account in a private or incognito browser window first, to rule out a caching issue. If that clears it up, go back to your regular browser, clear its cache and cookies, and try again, or try a different supported browser.

 

If receipts are still missing after that, this needs a closer look at your account, since a browser or article can't confirm what happened to a specific email. Contact QuickBooks Online Support so they can check the email on their end.

 

In the meantime, you can upload any missing receipts directly instead of by email.

Let's open your QuickBooks Online (QBO) account via a private or incognito window. This way, we can roll out the possibility of a cache related issue. 

 

Cache stored for a while causes unusual behavior to your browser that can affect the views and performance of your QBO experience. To start, you may use these keyboard shortcuts in opening a private or incognito window:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

 

If you're able to view the email receipts, then we'll need to clear your regular browser's cache. This will delete the browsing history and make your browser to function efficiently.

 

However, if the issue persists, I recommend using other browsers. This way, we can check if this is a browser-related issue.

I have tried clearing cache in regular and ingonito window.  in Google, Edge and Firefox.  I dont see a big difference.  I'm still not seeing receipts for around 50 entries.    Can you see the emails with receipts on your end?

You'll be able to email receipts or bills in QuickBooks Online. Please ensure that the fill size is between 46KB and 20 MB before emailing or forwarding the receipt, as this could be the reason it isn't uploading.

 

If everything meets the file size requirements, I recommend contacting QuickBooks Online Support because we can't see the emailed receipt here in the Community. Our support has the resources to double-check the information and submit a ticket for further investigation.

 

Here's how:

 

  1. Go to the Help icon in the top right-hand corner.
  2. Tap the Contact Us button.
  3. Enter the question and press Let's talk.
  4. Scroll down and choose to Get a callback or Start a chat.
