A one-day gap between the two sides of a bank-to-PayPal transfer is almost always just timing, not an error in either feed. Your bank typically posts the outgoing transfer on the day you sent it, while PayPal's feed posts its side once the funds are actually received and available, which is often the next business day. QuickBooks Online's automatic matching expects both sides to land on the same date (or very close to it), so a routine one-day lag is enough to keep it from suggesting a match on its own.
Here's how to match the two sides manually:
- Go to All apps, then Accounting, then Chart of accounts.
- Select View register next to the PayPal or checking account holding the transaction you want to adjust.
- Find the transaction, then select Edit.
- Change the date to match the other side of the transfer, then select Save and close.
- Go to Bank transactions, select the For review tab, find the downloaded transaction, then select Match.
If you've confirmed the bank feed date itself is wrong rather than just delayed, exclude the downloaded transaction instead of editing your own entry: check the box next to it in the For review tab, then select Exclude. Use the transfer you already created in your books when you reconcile.
If matching still doesn't work after adjusting the date, a few other things commonly block it:
- The transaction is older than 180 days.
- The dollar amount in QuickBooks doesn't exactly match what cleared the bank.
- The transaction type doesn't line up, such as QuickBooks expecting a check where the bank shows a card swipe or ACH debit.
- The transaction was recorded to a different bank account than the one it's showing up in.
- The downloaded transaction actually represents two or more separate entries in QuickBooks bundled into one deposit or payment.
When a payment involves more than two legs, such as funds moving through a temporary PayPal balance before reaching a vendor, with each leg landing on its own account and its own date, matching gets harder, since QuickBooks' automatic and manual matching are both built around two-sided transfers rather than multi-step chains. In that situation, editing one date to align two of the three legs won't necessarily produce a match for the remaining leg, because the search is still comparing amount and date against a single counterpart, not a chain of three. Try Find Match on the outstanding leg with a wider date window than usual, and confirm the amount matches exactly, including any fees PayPal may have subtracted before passing funds along.
