Multiple invoices for two different sole proprietorships in same QBO account

I have two sole proprietor businesses.  I have one QBO account.  I want to be able to create separate invoices in QBO so the customer knows which business it’s coming from.  My accountant recommended I use class tracking vs locations to keep things simpler.  I’ve followed multiple suggestionson how to create different invoices for each business, but the company name keeps changing globally. How ca I make this work?

The reason your company name keeps changing globally is that QuickBooks Online (QBO) is designed to operate on a single legal entity per subscription. When you change the company name in your main settings, QBO updates it across the board. The best way to handle this is to set up a separate QBO subscription specifically for that other business.

 

While class tracking is excellent for separating income and expenses for your accountant, it doesn't change the visual branding on your forms. However, if you want to stick strictly with your accountant's advice to use class tracking, one workaround is to use custom form styles to display different names by using image files for your logos.

 

Here’s how:

 

  1. Create an image file for each business that clearly displays its name and logo.
  2. Go to the Gear icon and select Custom form styles.
  3. Edit your standard invoice template or create a new one.
  4. Go to the Content tab and click the header section of the invoice preview on the right.
  5. Uncheck the Company name box to remove the global text from the invoice.
  6. Go to the Design tab, select Make logo edits, and upload the logo image for your first business.
  7. Rename this template so it's easy to find.
  8. Repeat steps 3 through 7 to create a second template using your other logo.

 

When you create an invoice, select Manage and then Design. Make sure you still assign the correct class for your accountant.
