How to I reconcile a sales receipt with my bank deposits. worried that the p&L will double the income bec of double entry

When i generate a sales receipt for 1 item but my bank depsoits are for sales for the day, it might be double entry and affect my income line

Great question, and you're smart to think about the P&L impact! The good news is, it won't double your income as long as you follow the right workflow. Here's why, and how to do it:

 

Why it won't double your income:

 When you create a Sales Receipt, QBO records the income right at that moment. The money sits in a holding account called Undeposited Funds which hasn't hit your bank yet in QBO's eyes. When you later create a Bank Deposit, you're just moving that money from Undeposited Funds to your bank account. That's a balance sheet move only therefore your P&L doesn't see it twice.

 

The correct workflow:

  1. Create your Sales Receipt.
  2. Make sure the "Deposit to" field is set to Undeposited Funds
  3. Go to New > Bank Deposit.
  4. Check off the sales receipts that match your real bank deposit, and save.
  5. In your Banking feed, that deposit will show as a green Match.
  6. Click Match to accept it.

 

That's it! Do watch out for this common mistake If you see the bank feed transaction showing Added instead of Matched, that means a duplicate was created. The fix is to undo that added transaction and re-do it as a proper match to your deposit.
