New Automated Payroll Tax Policy

I just had a phone call with Katie from "the office of the president" of Intuit.  Although she was very kind, nothing she said helps me understand or wish to comply with this new automated payroll tax policy.  I would like the actual president of Intuit to know how I (and many of your other small business customers) feel about this.  I highly doubt this will ever get to him or her, but let’s give it a try:

 

Regarding automated payroll taxes:  I cannot express deeply enough how wrong this decision from Intuit is for small business.  I will speak for me, but I know your other small business customers fully agree with me.  I have run my small business for 30 years.  I have ALWAYS paid my own payroll taxes.  I know how to do it, and I trust ME to do it.  I do not need, nor want anyone else to do it for me.  Here are my reasons why, and as a service to small businesses, I would sincerely hope someone at INTUIT can understand and reverse this horrible new policy.

 

ONE:  My payroll taxes are due on the 15th of the following month that payroll is processed.  I process payroll every other week (bi-weekly.)  Your new policy means that if I run payroll on July 1st, you will withdraw and hold up to about $3000 from my account.  Then I process payroll again on 7/15, you withdraw and hold another $3000 from my account.  Then I process payroll again on 7/30. you withdraw and  hold ANOTHER $3000 from my account.  You are holding $9000 or more of my cash since (beginning) July 1, yet my taxes are not due until 8/15.  Then, I process payroll again on 8/13, and you pull out ANOTHER $3000, which isn't due until 9/15!  Can anyone at Intuit understand how bad this is for a small business.  This could actually put me OUT of business.  Small businesses simply do not have the cash on hand to afford this ridiculous new policy.  Why would any small business want Intuit to hold $12,000 or more of their cash, instead of having it on hand to use for their own business needs?  Of course, we all know why Intuit wants to do this:  you will be earning $$$$$’s on our money, as you hold it until taxes are due.  This may be no problem for a company with $5,000,000 plus in revenues/year but for most smaller businesses, this is just plain dumb.

 

Two:  The IRS/EDD will hold me and my company responsible for paying our taxes.  If, for some reason, Intuit fails to pay my taxes on time, or even fails to pay them at all, Intuit receives no penalty, MY COMPANY does.  This is another reason why I want to control and pay my own company's taxes.

 

Three:  Your agent said this decision was made in part, because you were getting NSF notices when you withdrew payroll funds and "holds" were being put on accounts.  This is a head-shaker.  Here's what Intuit is saying:  "we keep getting insufficient funds notices from our small business customers, so why don't we withdraw and withhold MORE of the money (which they don't have) and hold it for weeks."  That's brilliant, isn't it? 

 

FOUR:  Your agent said Intuit was just coming in-line with the full-payroll service industry, who all do it this way.  Guess what?  if I wanted ADP or Paychex to handle my payroll, I would hire them to do so!  I don't want them, or any other company handling my taxes.  I'm baffled at how no one at Intuit understands this or cares to actually try to meet their customer's needs.  This policy actually makes running the business more difficult and stressful.

 

Please, for the love of GOD, reverse this policy and give me back the option to pay my own taxes.  If people want what your new policy offers, they will opt in.  Why not trust your own customers to make that decision themselves??

Shame on you Quickbooks. You did not pay my payroll taxes yesterday when they were due. You did not “streamline my payroll experience and make it easier for me” by forcing me to turn over our tax payments to you. I have lost the ability to pay my own payroll taxes, keep my businesses tax payment money until it is due and be satisfied that my payroll taxes are indeed paid and paid ON TIME. I have never had a problem paying my payroll taxes and I have never paid them late. Now, I have to double check your service to make sure our taxes are paid and paid on time. For over an hour, I was on the phone with two different reps from your company to try to fix this issue today. Both reps were very nice and were able to finally tell me that the payment was in fact NOT MADE by your company. And, shame on you again for taking our FUTA payment and sitting on it until it is due NEXT YEAR! How much is Quickbooks making on that money?! That is my money and it sure feels like theft! 

I am not looking forward to using a different payroll program. This policy should be illegal. Please reverse your decision to force businesses to use automatic tax payments.

I agree with all of your points. This change is extremely concerning. I contacted Intuit to express my concerns and was essentially told that the decision had already been made and there was no alternative.

What troubles me most is that QuickBooks is now withdrawing payroll tax funds when payroll is processed, rather than when the taxes are actually due. In my case, if I run payroll on July 15, the related tax payment may not be due until July 22, and I would normally have until July 21 to make that payment. I struggle to understand why QuickBooks needs to remove those funds from my account a week earlier and hold them until the payment is due.

I raised this concern with the representative I spoke with and questioned whether it was appropriate for Intuit to withdraw and retain customer funds before they are actually owed to the taxing authority. The response I received was simply, "I can assure you it's legal." While that may be the case, it does not make the policy any less disruptive for small businesses.

For the past 15 years, we have successfully managed our own payroll tax funding and payment process without any issues. We built our cash flow planning around that system, and this change has completely disrupted it. Initially, I wasn't worried about the new automated tax payment policy because I assumed QuickBooks would withdraw the funds shortly before the tax payment was due. I never expected the funds would be withdrawn and held as soon as payroll was processed. Had I understood that from the beginning, I would have been concerned from day one.

This policy removes flexibility, impacts cash flow, and takes away a process that many small business owners have managed responsibly for years. At the very least, Intuit should allow customers to opt in rather than forcing this change on everyone.

My firm processes payroll for our clients with our firm software and handles the payroll taxes, but we do have a handful of clients who process themselves via QBO. For those clients, I did look into other options because like you all they were very upset. The only alternative software I found was Patriot Payroll. I confirmed with a Patriot rep that if you choose basic payroll, you can still pay and file your own payroll taxes. They are the only alternative I have found outside of professional accounting firms such as ours processing your payroll for you. You can go to their website and very easily run a Demo without signing up. They have a whole suite similar to Quickbooks and their pricing is about half as much from what I could see. You can choose to do your bookkeeping, invoicing, HR, etc with them as well. I hope this helps everyone and Intuit allows this comment to stay posted.

I have not and I will notgive quickbooks online my banking information. i have been with quickbooks for years but i have never gien my banking information to them for one simple reason. i don’t want it on the internet to be used by someone scaming my hard earned money. i pay my taxes as I should and I am quite capable of doing so. This seems like it could be illegal and I think we should check into the possibility .
