Sales Tax in Quickbooks Desktop/Enterprise

Is there a simple way to get the sales tax payable to match with the pay sales tax window? The books I'm working on have been in operation since 2017.  The sales tax payable window does not match the balance sheet sales tax payable.  I'm sure it's from several errors over the years and not paying sales tax correctly.  I've performed lots of clean up on these books and just need to get a clean base to start from.  I've made an adjustment to the sales tax payable through the vendor window so that amount is correct, it's the balance sheet that is showing something different.  I tried doing a journal entry and of course that just adjusts the tax payable amount in the vendor window.  Help!

There are a couple of things to consider to make it easier to match Sales Tax Payable with the Pay Sales Tax Window, @AWE. We'll provide more information below to help you resolve your inquiry promptly.

Discrepancies are usually caused by a date range mismatch, an incorrect accounting basis, or manually posted and future-dated transactions. In addition, the Pay Sales Tax window will not reflect transactions that were manually posted to the Sales Tax Payable account. It only recognizes sales tax payments made through the official Pay Sales Tax function. To get around this, we can run a Sales Tax Liability report to get a detailed insight into every transaction affecting the account. Here’s how:

  1. From the top menu bar, go to Reports.
  2. Hover over Vendors & Payables.
  3. Select Sales Tax Liability from the drop-down menu.

Reviewing the manual entries and utilizing the Client Data Review option within the program can help you troubleshoot incorrectly recorded sales tax payments. For more details, please refer to this page: Accountant tools: Review list changes.
