Yes, you can upload PDFs and photos of supplier bills and receipts into QuickBooks Online, and it will automatically create a draft transaction.

However, for sales invoices, QBO does not automatically convert uploaded images into sales forms the way it does for bills and receipts.

To upload bills and receipts (purchases), here’s how:

  1. Hover over All apps.
  2. Go to Accounting and select the Receipts tab.
  3. Select Upload from computer and choose your PDF or photo. (QBO supports JPEG, JPG, PNG, GIF, and PDF formats).
  4. Review the automatically extracted details and make any necessary edits.
  5. Click Save to record it as a bill or expense, or match it to an existing transaction.

To import sales invoices:

  1. Click the Gear icon, select Import data, then select Invoices.
  2. Select Download sample CSV, fill in your invoice details, and upload it back into QuickBooks.
  3. Follow the prompts and complete the necessary actions.
  4. Review the imported invoices and select Save to confirm.

Note: If you use a newer iPhone or iPad, convert any HEIC images to JPEG or PNG before uploading, as QuickBooks does not support HEIC format.
