QuickBooks Online has two separate fields people mean by "memo" or "note," and they behave differently:
- Note to customer — appears on the invoice itself; this is what your customer sees.
- Memo on statement — does not appear on the invoice; it only shows up if you send the customer a statement, and is typically used for internal reference.
To add a message to an invoice (customer-facing):
- When creating or editing an invoice, scroll to the bottom. You should see a Note to customer box (and a separate Memo on statement box).
- Type your note directly into the Note to customer field. This is what your customer will see on the invoice itself.
To set a default message for all invoices:
- Select the Gear icon, then Custom form styles.
- Select Edit next to your invoice template.
- Go to the Content tab, then select the footer section.
- Enter your default text under Message to customer on invoice.
- Select Done.
