New to QuickBooks - I’ve generated an invoice and the customer is required to pay a 25% deposit before proceeding - how do I request that on the invoice?

Hello, Russel. 

We all started from the beginning. I'll be showing you how to record the 25% deposit from your customer. 

We can create a bank deposit to record the 25% amount for the invoice deposit. Just a quick overview, you would want to use the Debtors account so we can easily link it with the invoice. 

Here's how: 

1. Click the + New button, then choose Bank deposit. 
2. Select the customer's profile under the RECEIVED FROM column.
3. Choose Debtor under ACCOUNT (or click on + Add new to add it if you haven't created it).
4. Enter a description such as "25% deposit amount" or something similar. 
5. Add a memo, reference number and other important information.
6. Enter the 25% amount in the AMOUNT column. 
7. Once done, click Save and close.

    

   

Since you've already generated an invoice, all we need to do is to link it with the deposit account. If you look at your customer's profile, a deposit transaction (as a credit) will appear. 

To link it:

1. Open the invoice you generated. 
2. Click the Received payment button.
3. Enter "Zero" in the Amount received box (you technically haven't received any amount aside from the deposit). 
4. Ensure to check the invoice under Outstanding Transaction, then tick the Deposit under Credits.
5. Make sure to enter the 25% amount under the PAYMENT column for the invoice. 
6. Once done, click Save and close.

You can also skip the linking process and do this at a later time when your customer pays the invoice in full.
