Thank you for posting here in the Community space. I can assist you with your concern about the monthly insurance payments in QuickBooks Online.

Uploading pics to your monthly bill payments are optional. To organize your record keeping, you can add or match the yearly policy cost as attachments (see screenshot below).

QuickBooks Online lets you add attachments to customer and supplier profiles and their transactions. I've attached an article for more information about the transactions that support adding attachments and available file types: Add or delete attachments in QuickBooks Online.
