How can I see and merge duplicate bills, for example the invoice imported from from my business software with the imported PDF of the invoice?

Merging your imported bill and its PDF version depends on how you've imported the PDF. If you've imported it as an attachment, here's how you can merge it with the bill:

 

  1. Log in to your QBO account.
  2. Go to All Apps, select Expenses & Bills, then click Bills.

  3. From the Bills section, find and open the imported bill transaction.
  4. Scroll down, then click on Show existing under Add Attachments.

  5. Locate your PDF in the list and select Add. You can also click Preview to ensure it is the correct document before attaching.

 

On the other hand, if you've uploaded the PDF version as a receipt, here's how you can merge it:

 

  1. Go to All Apps, select Accounting, then click Receipts.
  2. Find the PDF version of the bill in the For Review tab.
  3. If you've mapped it correctly during import and QuickBooks identifies a match, you will see a message like "1 record found" in the Category column.
  4. Click the receipt to review the details. Once confirmed, select Match to merge it with the existing imported bill.

 

Note: Matching the receipt to the existing bill prevents duplicate entries and ensures the PDF is linked directly to the transaction.
