Gocardless Deposits not being created since 24/04/26

Hi, is anyone else who uses the GoCardless integration finding that the deposits aren't being created since the 24th March?

 

I contacted support on Monday and went through it in detail yesterday but they told me there hadn't been other reports of this issue.

Have you had a chance to review your GoCardless settings in QuickBooks to make sure your payments and deposits are being recorded correctly?   

 

You can verify your deposit settings by following these steps:

 

  1. Go to Integrations and select Find integrations.
  2. Search for GoCardless for QuickBooks, select Settings, and then choose Change.
  3. Check the Bank account where GoCardless deposits money option to ensure it's linked to the correct bank-type account in your chart of accounts.
  4. Click Next to save any changes.

 

Once you've confirmed your settings are correct, the next step is disconnecting and reconnecting the app. Please note that only the user who originally connected GoCardless to QuickBooks can disconnect it.

 

If the issue persists after you've verified your settings and reconnected the app, please contact our Live Support Team so they can review your previous case.

Thank you for replying, however my setting haven't changed and this has been working fine for years now.

 

I've noticed that GoCardless changed their Payment ID field length from 14 to 28 characters long on Friday when this first failed.

 

I'd bet good money on that being the cause of this failure.  I've emailed QBO support about that.

 

I just wondered if this was affecting other QBO users.

I regularly find I am the first person to report an issue.

 

However, I have 6 x Quickbooks accounts, with multiple users, so it’s easy for me to confirm every account has the same issue, and confirm it’s not “just me”.

 

I don’t use GoCardless, but the most obvious answer is usually correct, so if they’ve changed / increased the field size, that’s the first thing for QB to check.

 

You could speak to GoCardless too, as they won’t want you to have issues, and might help reach out to Quickbooks to speed up a resolution.

 

For what it’s worth, I reported 15 bugs to Quickbooks 5 weeks ago, and none of them are fixed yet, but that’s the iPhone app, and the web app seems to get more love (as when the iPhone app is broken, the default answer is to use the web app).

Just to add, everything fell off a cliff when we had to move to the new version / layout of Quickbooks, which was forced on us on 27th March 2026.

 

I had tested it when it was launched in September 2025 and it was full of bugs, so we switched back and hoped it would all be fixed when we finally had to use it. Unfortunately they weren't and we found even more bugs.

 

Here is some feedback from three of our users today (specifically relating to the iPhone Quickbooks App) to show how frustrated they are.

 

One question I asked was "How often do you type an invoice into the Quickbooks App and nothing happens when you click Save (or Review and Send). The other was about "image uploads" hanging.

 

"This happens every time, the catch is once you have pressed save not to touch or breath anywhere near the phone and it’s fine. But a slight touch of the screen it freezes and you have to start from scratch after closing the app. It’s a pain in the a*** and quickbooks is now the worse part of this job, even over guano cleans. It may be a coincidence however it seems to be every time I touch the phone screen (when I’m speeding through) it seems to hang. Where as if I press save then don’t touch anything it does this weird pause for a second then continues."

"I find that unless Jupiter is in perfect alignment with Pluto's moon, QuickBooks fails on so many levels. Duplicate invoices. Hangs up on internet. Have to restart multiple times. Uploading images is pointless. The image is usually in megabytes so takes ages to load and this often hangs the app so you have to reload"

 

"Crashing happens alot recently. I am getting really bored with putting all the info and detail into an invoice and it freezing. I have to go through and do it all again. "

 

Bugs will always happen, but as this GoCardless bug has shown, there is no urgency to fix and it's just crazy a company worth US$79 billion is so poor at responding.

I got my case update email today :

 

"We're reaching out for the issue you have reported:QBO UK - GoCardless Deposits are not being created after a customer pays for their invoice.

Your investigation is still in progress. Here's the latest update: The engineering team are working on developing a fix to resolve.

In the meantime, if it is urgent we suggest to: We are currently unaware of a workaround.

Our next scheduled update will be: Thu Jun 18 11:00:00 GMT 2026"

 

I'm glad to see such progress is being made and that they are still currently unaware of a workaround.

 

Embarrassing.  This broke at the end of April, due to changes that GC notified QBO of in January...  we are now in June and I've spent way too many hours manually processing the GC payments and deposits.

I'm another with the GoCardless issues here.  Just had to manually match this months direct debits to the GC deposit and manually add an expense for the fees.  I only noticed when QB sent an invoice reminder to all my customers who pay by monthly DD which is really annoying.  Glad I only have a few to do and not 307 though!

We tried Sage 50 and Xero a little while back, but we are migrating to Zoho Books.  It is fast, has more features, more customisation, allows us to use our own email domain for sending documents, we can more or less fully customise PDFs and also the emails themselves, lots of customisable workflows and settings.  It has functional Sales Orders which is useful to us.  It links fine with our banks, and has many more payment provider options (paypal, square, stripe and so on), and everything seems to work.  The responsiveness is noticeable, QB is getting slower and is now expensive (we are using Advanced).

 

We had to use a third party tool to export transactions from QB because the QB export tool doesn't work.

 

We found that for our needs Xero required additional plugins for inventory that bumped the price up a lot and made the workflow difficult.  It has equally little customisation of documents and emails.

 

Sage 50 was similar to QB (at the time we tested it) and we needed Sage 200 for our needs, which meant it was very functional but overly complicated for us and our staff, it looked like a very old school database, and was very expensive.  I think these days 50 has some more features.

I wonder if there any indication of a timeline for resolution yet. I had to manually enter 307 payments last Monday and another 41 throughout the rest of the week - this is not sustainable and I am not prepared to put up with it much longer.
 
It is reasonable to expect some sort of ETA by the end of June - 2 full months after the issue was brought to your attention, and at least 6 months since GoCardless notified you of the changes to the reference fields.
 
If there is no end in sight by the end of this month, I will begin evaluating alternative packages, and start the process of persuading my directors that a data migration is preferable to continuing to manually process 500+ DD payments per month for ever and a day.

Thank you . You've given me plenty of food for thought.

 

Inventory isn't an issue for us, fortunately. We are also using Advanced and finding it painfully slow at times. I haven't even had an opportunity to explore the extra features (recent upgrade) because I'm spending so much time on DDs.

 

Out of interest, what was the 3rd party export tool you used? A good one can make all the difference but it's been years since I've done a migration so I'm woefully out of touch.

We found this when having to move from QB Desktop to Online.  We had quite a lot of problems with MoveMyBooks and this tool really helped us. 

 

If I remember right, SaasAnt didn't export custom fields so we had to cross reference those with some QB exports.  Otherwise it's worked well for us.

I’m genuinely astonished at how long QuickBooks has taken to fix this issue, and even more surprised by the lack of meaningful updates throughout. Given the amount of time users have had to spend managing the workaround, it’s been incredibly frustrating.

 

To be fair, the workaround I’m currently using was found by you guys - QuickBooks themselves couldn’t come up with a solution.

 

I’ve been toying with the idea of moving over to Xero for a while, but until now I didn’t have the appetite for the hassle of migrating two QuickBooks accounts. However, after this latest issue and what I consider to be appalling customer service from QuickBooks, I’m now seriously considering making the switch.

 

I’d be interested to hear from anyone who has migrated from QuickBooks to Xero. How straightforward was the process? Is Xero any better overall, particularly when it comes to GoCardless integration and support?

 

On a separate note, I’m also dealing with another QuickBooks issue. For a week or so now, I’ve been unable to add attachments to deposits (VIA THE APP ONLY), which means I’m having to use a daily workaround. Is anyone else experiencing this problem? In the app, go to accounting>bank transactions>click on the bank account>categorised>select a deposit> "add notes and attachments" is greyed out and no longer clickable.

The issue is happening on both of my QB accounts. Is it happening with everyone else?

 

I spent over an hour on the phone top support, reinstalling the app, etc. Nothing worked. They were supposed to email me after the call but didn't (not surprised!!)

The problem migrating is they all, Quickbooks, Xero, Sage etc can be useless.


I looked at Xero in 2018, and picked Quickbooks because at the time Xero couldn’t add attachments to invoices.

 

I’ve been looking again at Xero now (I have 15 bugs in the Quickbooks iPhone app still unfixed almost 12 weeks after I reported them and no idea when they might be) and Xero seems to have had complete system outages in the past few months.

 

Worse, Xero shut their forum down this month, including pulling all the old posts…to “better help their customers”. Used on Reddit are furious.


Not saying you won’t be better off with Xero, but check out all the forums you can find to see what issues might affect you.

 

Our users almost entirely use the Quickbooks iPhone app, but Quickbooks seem to give most attention to the web app as “that’s always a workaround if the iPhone app has issues” (despite it being almost impossible to use on a phone, especially if your are an ordinary app user, who normally just creates a few invoices a day and marks them paid).

 

This GoCardless issue shows that even with the Web App, Quickbooks can be incredibly slow if an issue affects a minority of users. Even with the size & complications of Quickbooks database, this could have been fixed in a week max.

 

I am in touch with HMRC to point out how unreliable their approved MTD suppliers are…working my way up the chain until I get some action.
